Housekeeping
Trace notes
Dated reminders attached to a room. They surface on the room's own tile on the day they come due, and an open one never falls silently past its date.

Who this is for: Manager, Owner, and any role granted it — requires
housekeeping.trace.manage. Where: Housekeeping → Trace Notes
"Deep-clean 203 before the weekend." "Check the safe battery in 118 next Tuesday." These are reminders that belong to a room rather than to a person, and they need to reach whoever is standing in front of that room on the right day — not a supervisor's notebook.
A trace is a dated note on a room. It appears on the room's tile when it comes due.
Write one#
- Open Housekeeping → Trace Notes.
- Press New trace.
- Pick the date it should surface on and the room it belongs to.
- Write the reminder.

One reminder, one room, one date. The floor sees the same line on the room's tile when the day arrives.
Understand the date#
The Due by picker is a horizon, not an exact match. The list shows everything due on or before that date, which has two consequences worth knowing:
- A trace dated tomorrow does not appear on today's list, or on the board today. It is not due yet.
- A trace dated last Tuesday and still open does appear today, flagged Overdue. An open reminder never falls silently past its date — that is the failure mode a paper diary has and this register does not.
Move the horizon forward and the later traces join the list. Move it back and only the older ones remain.
Where it reaches#
An open, due trace shows in two places at once:
- This list, which is the planning view
- The room's own tile on the room status board, which is the doing view
The tile is the one that matters. A reminder that only lives in a list is a reminder somebody has to remember to read; putting it on the tile puts it in front of the person who has already walked to the room.
The Traces due badge on the overview counts the same set.
Close one#
| Action | What it means |
|---|---|
| Mark done | The work happened. The trace drops off the board tile and out of the Open filter, and the record of it stays |
| Delete | The trace should never have existed — wrong room, duplicate, cancelled plan |
The two are not interchangeable. Done records that something was carried out; delete removes a note that was a mistake. Reach for delete only when there is nothing worth remembering, because a deleted trace cannot answer "was the shower ever fixed?"
A trace marked done can be reopened if it turns out the work did not hold.
What's next#
- The room status board — where a due trace meets the floor
- The housekeeping overview — the due count
- Work orders — for repairs that need a trade, a part and a schedule rather than a reminder
