Operator links and the delegation roster

How one organisation's staff come to operate another organisation's hotels — invited, accepted, delegated, and revocable in one move.

If you own the hotels you run, skip this page and The operator portfolio. Both exist for management companies — one organisation operating hotels that belong to somebody else's organisation. A single-property house never needs either.

A management company and its client are two organisations. Nothing is merged: the client keeps its own data, its own members and its own tenancy. What a link creates is a controlled way for the operator's staff to hold ordinary memberships inside the client's organisation — and one lever that takes them all away again.

The asymmetry is the point. The operator says who its people are; the managed organisation says what they may do inside my house. Neither side can do the other's half.

A link on its own grants nothing. An accepted link with no delegated role gives the operator exactly as much access as no link at all. Access begins at the grant, not at the handshake.

Invite an organisation to be managed — as the operator#

  1. Ask the other organisation's Owner for their Organisation ID — they find it on Organisation settings.
  2. Open Settings → Operator Links.
  3. Select Invite operator link.
  4. Paste the Managed organization ID.
  5. Select Send invitation.

The link appears with status invited and moves no data. Nothing else happens until they accept.

  1. Open Settings → Operator Links. The invitation is listed as operated by them.
  2. Select Review & accept.
  3. Optionally select the hotels the link should be limited to. Leave it empty for the whole organisation.
  4. Select Accept link.

The hotel narrowing is a ceiling. Later delegations cannot exceed it, so an operator brought in to run one of your three properties can be confined to that one now rather than trusted to stay there.

Delegate a role to the operator's roster — as the managed organisation#

  1. On the active link, choose a Delegate role.
  2. Choose a Scope — Org-wide or One hotel.
  3. For one hotel, choose which.
  4. Select Delegate.

Everybody on the operator's roster now holds that role in your organisation, as an ordinary membership. They appear on Members labelled via ‹operator› link.

The panel also names, in plain text, exactly which people would lose access if you revoked the link. Read that line before revoking anything.

Maintain your delegation roster — as the operator#

  1. Open Settings → Delegation Roster.
  2. Select Add to roster.
  3. Enter their Account email.
  4. Select Add.

The roster is maintained once, here, and every managed organisation stays in sync. Add a new regional manager and they gain access to every client that has delegated a role; remove somebody who has left and their access to every client is retracted at once.

They must already have a Nerve account — the roster does not create one.

The roster is the operator's off-boarding switch, and it is the one to reach for when somebody leaves. Removing them from the roster retracts their delegated membership in every managed organisation. Removing them client by client is both slower and easy to leave half-done.

A delegated membership can never be revoked from the Members screen. Its provenance is the link, so the link is where it ends — which is what stops a delegated role from quietly outliving the arrangement that justified it.
