Close the day: night audit checklist
The checks nothing forces you to make — unposted charges, open folios, unassigned arrivals — then closing each outlet and rolling the business date.

The close is one button. Everything on this page happens before you press it, and the reason is worth stating first: the audit will close the day whatever state the house is in. It reads the day out of the journal, stores the totals and rolls the business date. It does not inspect the desk, it refuses nothing, and it posts no entries of its own — see running the night audit.
So none of the checks below are enforced. That is exactly why they are a checklist: a charge nobody posted is not a warning tomorrow, it is a night that closed without it.
Clear the desk#
- Empty the departures list — check a guest out. Every due-out is either checked out at zero or departed on a deliberate override, and an override leaves the debt on an open folio for you to find here rather than clearing it.
- Look at the folios the departure flow never touched — folios. Check-out settles the guest folio; a company or OTA folio on the same stay is settled on its own, and a group's master is settled last because settling it disables the billing splits.
- Turn a company balance into a receivable rather than leaving it on the guest ledger — accounts receivable and the city ledger. Read the note there about when the automatic raise does and does not fire; today the balance is usually recorded by hand.
- Assign the arrivals nobody got to — the room rack. A stay still in the unassigned card at midnight is tomorrow's first problem, and the roll is what makes it tomorrow's.
- Check the payments carry references — taking payments and issuing refunds. The reference is what makes a question three weeks from now answerable, and tonight is the last cheap moment to add one.
Close each outlet's day#
- Settle or void every open check — the terminal. A check charged to a room is already on the guest's folio; a check left open is revenue that has happened and been recorded nowhere.
- Make sure no appointment is still live — the resource scheduler. Anything booked, checked in or in service blocks the close.
- Close the day at each outlet — settlement and close. Read the caution about cashier drawers there before you open one, because an open drawer is the third thing that blocks a close.
重要
Close each outlet before the property's night audit, not after. The audit reads what has been frozen; an outlet still open contributes nothing to that night's figures, and closing it in the morning does not retrofit it.
Run the audit#
- Read the Current business date on the card, then select Run night audit — running the night audit. There is no confirmation step, which is why reading the card is a step.
- If the run was interrupted, look before you press. Reload and read the date: advanced means it completed, unchanged means it never happened. The whole run is one transaction, so there is no half-closed day to repair.

A second press does not re-close the day you just closed — it closes the next one, which the property has not finished working. A day can only ever be closed once; that guarantee protects you from a retried request, not from pressing the button twice on purpose.
Read the day back#
- Read the new row in Recent runs. It is the daily report — daily and period reports. Revenue and Payments are different numbers and should be: one is what the house earned, the other is what it collected, whatever it was for.
- Reconcile one run against the journal, once, on a property you have just brought live — the ledger. After that you can read the figures without re-deriving them.
- Glance at the two aging strips — receivables and payables. Not nightly, but the close is the habit they are easiest to hang off.
You're done when…#
The card shows the next business date, Recent runs carries a row for the day you closed with its Room, Tax, Revenue and Payments figures, every outlet that traded reads Day closed, and every folio still open is one you could name and explain.
