Check a guest in

Work the arrivals list, run guided check-in with a deposit, handle a walk-in, and clear the room-readiness gate.

The arrivals list is where a shift starts. It shows every stay due to arrive on a date, with the status of each: whether a room is assigned, and whether that room is ready.

Before you check anyone in, the stay needs a room assigned — on the room rack, or by the guided flow itself.

Check a guest in#

  1. Open Front Desk → Arrivals & Check-in.
  2. Set the date to today, if it is not already.
  3. Select the arrival you want. The guided check-in opens beside the list.
  4. Verify the guest's details against their ID.
  5. Confirm the room. If none is assigned, assign one here.
  6. Take a deposit, if the rate or the house requires one.
  7. Complete the check-in.

The stay moves to in-house, the room shows occupied, and a folio opens with the room and tax postings already on it. A deposit is recorded on that folio as a payment, so the balance is charges minus deposit from the first moment.

注意

On staging, a card payment is recorded against the folio without a real authorisation — no gateway is wired. In production the gateway responds before the payment posts, and a decline stops the flow. Never enter a real card number on staging.

Check in when the room is not ready#

With check-in requires ready room switched on for the property, a room that Housekeeping has not marked ready blocks the check-in.

  1. Attempt the check-in as above. It stops, and says the room is not ready.
  2. Either pick a different ready room, or
  3. Use the explicit override offered in the flow.

重要

The override is per action, not a setting. It is recorded, and it does not change the policy for the next check-in. If you find yourself overriding every arrival, the policy is the thing to revisit — not the button.

Assignment itself is never gated. You can always put a stay on a dirty room; it is the check-in that waits.

Check in a walk-in#

A walk-in has no reservation yet, so one flow creates the guest, the reservation and the in-house stay together.

  1. From Arrivals & Check-in, start Walk-in.
  2. Enter the guest's details.
  3. Pick a free, ready room and the nights they are staying.
  4. Complete the flow.

The stay is already in-house when the flow finishes — there is no second check-in step. It appears on the rack as occupied, with an open folio.
